Good day Twirlers! As you might already know, video meetings with your vendors have come to stay! Even after Covid passes, we’re convinced that some meetings that would typically be in-person will now be online. Exciting times ahead! So in case you’re not on the video meeting bandwagon yet or you’re not sure how to go about it with your event vendors, here are a few tips to help you have a fab video meeting experience.
Test Your Video Meeting App
Before the meeting with the vendor, be sure to test out the app or software you would be using for the call,whether Zoom, FaceTime or WhatsApp Video. Be sure you’re in a space with little or no noise and other interruption and make sure you’re sitting in a position where your beautiful self can be seen properly from the other end. Also make sure before the meeting that you have enough internet data to last the duration of the meeting.
Create Inspiration Boards
It would be a fabulous idea to have a vision board for your event. Preferably one for each vendor. If you’re meeting using Zoom, you can share inspiration with vendor via screen sharing. If you’ll be meeting via FaceTime or WhatsApp Video, or another app that doesn’t allow screen sharing, send the information to the vendor ahead of the meeting. This makes it easier for you to communicate your vision to the vendors.
Make A List of Questions
Write down all the questions you have for each vendor. If you have a chance, send the questions to the vendor ahead of the meeting. If you don’t have any questions, that’s fine. Your planner should be able to steer the direction of the meeting or the vendor would know what information they’ll need from you during the meeting.
Voice Out Your Concerns
Did you go to an event your photographer shot at that had only 2 shooters but you’d like more than 2? Ask the vendor. The couple may have picked a different package than what you would prefer. It would be good to discuss any concerns you may have regarding the vendors service or product, and have them explain or clarify so you’re comfortable with them before booking or before the wedding day.
Take Notes
It’s important to take notes of all discussion points and comments the vendor made during the meeting. After the meeting, send an email to the vendor outlining everything you discussed to have them confirm or clarify any points needed. You can send an email to the vendor the week of the wedding to remind them of your expectations.
